Resident Status Types
Every resident in Propty has a status that indicates their portal access state. Understanding these statuses helps you manage who can access the resident portal and troubleshoot access issues.
Status Overview

| Invited | Invitation email sent, waiting for the resident to accept | No |
| Active | Invitation accepted, fully set up | Yes |
| Inactive | Portal access has been temporarily disabled | No |
Status Details
Pending
A resident is Pending when they have been added to the property but have not yet been sent a portal invitation.
How it happens:
- You added the resident with the "Send portal invitation" toggle turned off
- The resident was imported via CSV without sending invitations
Next step: Send an invitation using the three-dot menu on the residents list.
Invited
A resident is Invited after you have sent them a portal invitation email, but they have not yet accepted it.
How it happens:
- You added the resident with the "Send portal invitation" toggle on
- You manually sent an invitation from the three-dot menu
Next step: Wait for the resident to accept. If they haven't responded, try resending the invitation.
Active
A resident is Active after they have accepted the portal invitation and set up their account. Active residents can log in to the portal to view invoices, submit requests, and access documents.
How it happens:
- The resident clicked the invitation link and completed registration
Inactive
A resident is Inactive when their portal access has been temporarily disabled. They cannot log in to the portal.
How it happens:
- A property manager manually deactivated the resident
- Useful when a resident moves out but you want to keep their records
Next step: Reactivate the resident if they need portal access again.
Filtering by Status
On the Residents page, use the Status filter dropdown to view only residents with a specific status. This is useful for:
- Finding all Pending residents to send invitations in bulk
- Identifying Invited residents who may need a reminder
- Reviewing Inactive residents for potential cleanup
Troubleshooting
A resident can't log in but shows as Active
- Ask them to try resetting their password. See Reset Your Password.
- Verify their email address is correct.
I want to remove portal access temporarily
- There is no direct "deactivate" button in the current interface. Contact support for assistance with changing a resident's status to Inactive.
A resident never received their invitation
- Verify the email address is correct by editing the resident
- Resend the invitation from the three-dot menu
- Ask the resident to check their spam/junk folder
