Create Assessment Schedules

Assessment schedules automatically generate recurring invoices on a set schedule — monthly, quarterly, or annually. Once configured, invoices are created and optionally published without manual intervention, saving time and reducing billing errors.

What you'll need
  • A property with payments enabled (see Payment Configuration)
  • At least one unit with a resident assigned
  • The assessment amount, frequency, and due date

Understanding assessment schedules

An assessment schedule is different from a one-off invoice:

Steps

1. Go to the Assessments page

From your property dashboard, click Assessments in the left sidebar.

2. Click "Create Schedule"

Click the Create Schedule button in the top-right corner.

A dialog will open with the assessment schedule form.

3. Enter the schedule name

Type a clear, descriptive name for this schedule in the Name field.

Examples:

  • "Monthly HOA Dues"
  • "Q1 Special Assessment - Roof"
  • "Annual Reserve Contribution"

4. Choose the frequency

Click the Frequency dropdown and select one of:

  • Monthly — invoices generated every month on the same date
  • Quarterly — invoices generated every 3 months
  • Annually — invoices generated once per year

5. Enter the amount

Type the dollar amount in the Amount field. This is the charge per unit per billing period.

Multiple units

If your property has multiple units with residents, each unit will be invoiced for this amount. The total generated will be: Amount × Number of Active Units.

6. Set the day of month

Enter the Day of Month (1–31) when invoices should be generated. If you select a day that doesn't exist in some months (e.g., day 31), the invoice will be generated on the last day of that month.

7. Set the due date offset

Enter the Due Date Offset in days. This is the number of days after the invoice is issued when payment is due.

Example: If you set the offset to 15 days and the invoice is issued on January 1st, the due date will be January 16th.

8. Configure auto-publish (optional)

Check the Auto-Publish Invoices checkbox to have invoices publish automatically without manual review.

  • Checked — invoices are published immediately and sent to residents
  • Unchecked — invoices are created as drafts; a manager must publish them manually

9. Configure automatic late fees (optional)

Expand the Late Fee Settings section to add automatic late fees:

  • Enable Late Fees — toggle to activate
  • Type — choose Flat Amount (e.g., $50) or Percentage (e.g., 5% of invoice)
  • Grace Period — number of days after the due date before the late fee applies

Example: Due date is January 16th, grace period is 5 days. The late fee applies on January 21st.

10. Create the schedule

Click Create Schedule at the bottom of the dialog. The schedule will be created and invoices will begin generating according to the frequency.

Managing schedules

View all schedules

On the Assessments page, all active schedules are listed in a table showing:

  • Name — the schedule name
  • Frequency — Monthly, Quarterly, or Annually
  • Amount — the per-unit charge
  • Status — Active or Paused
  • Next Invoice Date — when the next invoice will be generated
  • Last Generated — when the most recent invoice was created

Pause a schedule

Click Pause on any schedule to temporarily stop invoice generation. Paused schedules do not generate invoices but can be reactivated later.

Reactivate a paused schedule

Click Resume on a paused schedule to restart invoice generation from the next scheduled date.

Viewing invoices generated by a schedule

On the Invoices page, you can filter and see which invoices were generated by each schedule:

  1. Go to Invoices
  2. Use the Schedule filter to select a schedule name
  3. The list will show only invoices generated by that schedule

Each invoice's detail view shows which schedule created it.

Important note about scope

Assessment schedules generate invoices for all active units with residents assigned. Before creating a schedule:

  • Verify that all units have residents if you want them billed
  • If you want to bill only specific units, create separate schedules and manage unit assignments accordingly

Troubleshooting

The schedule was created but no invoices are appearing

  • Check that the Day of Month has passed for the current month. Invoices generate starting from the next occurrence of the scheduled date.
  • Verify that units have residents assigned. Schedules only generate invoices for units with a resident in the active status.

I want to change the amount or frequency

  • You cannot edit an existing schedule. Pause the current schedule and create a new one with the updated settings.
  • Any invoices already generated from the old schedule remain unchanged.

Auto-publish is enabled but invoices are still drafts

  • Check that Auto-Publish Invoices was selected when the schedule was created.
  • If the setting was unchecked, you must publish invoices manually. You can enable auto-publish for future invoices by editing the schedule (if available) or pausing and creating a new schedule.

Late fees are not appearing on invoices

  • Confirm that Enable Late Fees is toggled on in the schedule settings.
  • The late fee applies only when an invoice remains unpaid after the grace period. It will not appear immediately on the invoice.
  • Check the invoice detail view to see if the late fee has been applied.
